MEMORANDUM Anita Lotta-Help (Insert (Insert RE: Information sharing in an organization Challenges occur when the managers of TRU are unable to share information with their counterparts in different geographical area. TRU needs a system that can allow its managers to share ideas. The best system that the managers can use is Enterprise Information Portal (EIP). The criteria used for determining an information sharing approach is security, availability and speed. EIP is the most appropriate approach because it is secure, easy to use, and relays information faster.

In order to get started, the three concerns should be addressed.I am recommending that TRU managers and other employees should use EIP in sharing information.Information sharing in an organizationThe best strategy for sharing knowledge in an organization is the use of Enterprise Information Portal (EIP). An EIP is a web-based single gateway to an organization’s information center for employees, customers, business partners, and the public. It is subdivided into smaller sections within a large portal.

An EIP allows users to get information in the desired context. It categorizes information for easy access to users. It also allows employees to collaborate by sharing information regardless of their geographical locations.An EIP allows an organization to disseminate information efficiently. It also enables an organization to consolidate all its websites in a single platform. In addition, it provides quick access to information within an organization. EIP allows employees in an organization to access relevant personalized information quickly.

EIP can also provide targeted employee information depending on their roles preferences.Criteria for determining information sharing approaches One of the most important guidelines for determining the best information sharing approach is information security. In any communication, the message is supposed to remain confidential. It should not reach unintended parties. An EIP is relatively secure for sharing organizational information because various categories of users can access different portals.

The system allows authorized users to login to respective accounts and get personalized information. The second factor that determines the approach of sharing information within an organization is the accessibility of the information. A good system of sharing information should be easy to use and widely available. It should not be confined to specific places alone. It should enable users to get what they want at any place and time. The third factor that determines information sharing strategy in an organization is the speed of dissemination.

Information should reach the recipient within the shortest time possible. A good information sharing system should, therefore, transmit the information to the recipient within a short period.Communication strategies An organization should encourage the use of three information flows within the organization. The three information flows are downward, upward and horizontal flow of information. Downward flow of information entails the flow of the message from senior organizational levels down the management structure.

Upward flow is the movement of information from lowest organizational levels to the highest levels. Horizontal flow is the movement of information within similar organizational levels. Downward communication increases staff efficiency, but it requires repeated explanations. Upward communication motivates employees, but it may encourage indiscipline. Horizontal communication encourages efficient coordination of activities, but it may lead to wastage of time.Reporting processIn order to implement an efficient reporting process in an organization, the leadership must demonstrate a commitment for effective reporting.

The organization itself should plan and control the reporting process. It should determine various roles and responsibilities in the reporting process. The organization should also use appropriate technology in the reporting process. In addition, the organization should evaluate and improve reporting process through periodic surveys.Compensation plansThe compensation plans for CEOs in different organizations will vary depending on the market performance of the individual organization. When designing compensation plans in an organization, a number of issues must be put into consideration.

They include the organization’s financial stability, market share, business retention, and quality or productivity outcomes. Regular checking of executive compensation packages is necessary for reducing the occurrence of conflict of interest between the organization’s short-term and long-term goals. Some CEOs might be tempted to engage in unsustainable activities that generate more money in a short period, but they harm the organization’s long-term goals (Carpenter, n.d).Work CitedCarpenter, Susan.
